Ad Hoc One on One Meetings

In today’s day and age its critical to be able to connect with the rank and file in your team and have a finger on the pulse of Technology, Market, Industry Trends, and Team Morale. One way to do this is to encourage your team members to schedule some time with you and come and talk to you directly on whatever is on top of their mind or troubling them.

Let me show you how you can automate these type of one-on-one meeting scheduling and create an open door atmosphere in your team.

Once you have set this up, anyone in your team can pick a time that works for you and directly schedule the one-on-one meeting; without multiple emails and phone calls with your admin assistant. So, lets get into the setup part.

  • Setup an Appointment Board.

  • Add your email address, and your availability and constraints (max per day and week).

Let’s take an example:¬†You can set aside some time each week for these Ad Hoc one-on-one Meetings. Say, you decided that Friday Afternoon 3pm-5pm and Wednesday morning 10am-11am will be a good time for these meetings. So you set your availability to these times. You can also decide that 15 minutes slot for each meeting with a 5 minute gap between two such meetings will be a good practice; so set these values. You can also decide to keep maximum 4 meetings per day and 10 meetings per week as the upper limit for these meetings.
